Tracking Grant Funds in NCFS
Agency budget staff should enter federal grant information into NCFS (in addition to budgeting in IBIS) for monitoring and reporting. See the Office of State Controller's (OSC) BUD-26 Reference Guide.
Note: This requires the NC Financial System (NCFS) “Budget Entry” security role.
Key NCFS Segments for tracking federal funds:
- NCFS Project Segment – unique identifier for specific federal grants, can be used to identify different grant awards based on the grant year (by updating fund source and/or within the NCFS project segment itself)
- NCFS Funding Source – can use specific identifiers for the grant year award (i.e. 3025 or 3026, based on the grant year coverage)
If your agency uses a different approach, contact your OSBM budget execution analyst before submitting budget revisions.

- NC Cash Basis - Project Life to Date Balances Report (RPTRTR0003). Tracks total grant award/budget over the life of the grant, across state fiscal years.
