Closing Out a Grant

Closeout Readiness Checklist

To close out your grant, make sure you meet these requirements:

  • Spend all grant funds: Use all the grant money and report it in Smartsheet. Your balance should be $0.
  • Spend all interest earned: Spend any interest earned and report it on your Smartsheet.
  • Submit all reports: Turn in all required grant program audits and Quarterly Performance Reports in Smartsheet.
    • Review the summary on your reporting sheet closely to be sure you’ve submitted all necessary audits, expenses, and reports.
    • Final Report – Use the Quarterly Performance Report form to confirm that all funds have been spent and the project related to the grant funds is complete.

If you think your grant is ready to be closed out and you have completed all of the above steps, email your grant administrator or NCGrants@osbm.nc.gov

Check the sheet summary

In Smartsheet check the summary for your grant. It shows your remaining balance, totals for reported sales tax, interest, and expenses, and a list of due Quarterly Performance Reports. Find this by clicking the Summary icon on the right side of your reporting sheet.

Closeout Review & Confirmation

Once you complete all items in the checklist above and notify OSBM the grant is ready to be closed out. OSBM will review your grant. 

During our review, we may reach out to you with additional questions. Please be prepared to provide supporting documentation if asked.

After your grant has been reviewed and approved, we will email a close-out memo via DocuSign to your organization’s designated contract signer. If your contract signer does not receive the closeout memo within a few days of being approved for closeout, please check your email spam folder.
